Email follow-up for dental practices
Most new-patient inquiries do not book on the first try. CareRM writes the follow-up emails, sends them from your own domain to people who opted in, and stops them the moment someone books, replies or unsubscribes. Your practice approves every template, and a call task reaches your front desk.
Show me the proofGive each email a job.
A person asking about implants may need to know what the consultation involves, who they will see, or simply how to reach someone. Each email answers one of those and asks for one next step: call, or reply. When the person books, replies or unsubscribes, the sequence stops on its own. On the Growth plan the same tools run reactivation and onboarding sequences and newsletters for past and new patients who opted in. For a DSO, each practice's emails go out in its own name.
What the work includes
- Sequence plan
- Who receives it, how many emails, how far apart, and the one action each asks for, agreed with the practice.
- Writing and sending
- Subject lines and copy written from approved practice information and sent from your own domain once it's connected.
- Checks and stopping rules
- Links and mobile layout tested before anything goes. Only people who opted in receive it, and it ends when they book, reply or unsubscribe.
Before we begin
We need approved practice information and access to your domain's sending settings. Only contacts who opted in are emailed, and the practice approves every template before it can be sent.
Follow-up that stops on its own
Answer every inquiry, then fill the chair. A form starts the follow-up; if the person hasn't booked after a day, a call task opens, a person approves the next email, and it all stops when they reply, book or unsubscribe.

Questions practices and DSOs ask
How many follow-up emails should a dental practice send after an inquiry?
A short sequence, each email with its own job, usually over a week or two. More rarely helps. Because it stops as soon as the person books or replies, nobody is emailed after they have scheduled.
Can you email our existing patients?
Yes, patients who opted in to hear from you: reactivation sequences and newsletters from your own domain, on the Growth plan. Patient lists are never uploaded to Meta or any ad platform.
Can we keep the email platform we already have?
We review it first. Running follow-up inside CareRM keeps emails next to the calls and bookings they lead to, but a replacement is not a requirement.
Do you guarantee opens or inbox placement?
No. Delivery depends on sender setup, the list and the people receiving it. We set up and check the parts we control.
What is a new patient worth to you?
Don’t know yet? Most practices don’t. Bring one practice or every location in a DSO. 30 minutes, three screens, nothing to connect. You keep the notes.
