Call tracking and recording for dental practices and DSOs
Dental call tracking gives each ad, web page and Google Business Profile its own local number that rings your front desk. Every call is recorded and transcribed, and arrives in CareRM with its source and whether it booked, next to your forms.
Show me the proofA call that did not book is still an answer.
Most new patients still call. A report that only counts calls cannot tell you which ones booked. Each tracked number belongs to one channel, so every call arrives knowing whether it came from a Google ad, a Meta video, the website or your Business Profile. The recording and transcript stay with the call, and the call sits beside the forms and bookings from the same source. For a DSO, the same view rolls up across every location.
What the work includes
- Local tracked numbers
- Numbers in each practice’s own area code on its ads, website and Business Profile, each named for the channel it serves. They forward to the line you already have.
- Recordings and transcripts
- Every call is recorded and transcribed and kept with the lead, so the office manager can hear why a new-patient call did not book and use it to coach the front desk.
- Booked or not
- Each call is marked booked or not booked, so you can see which sources fill the schedule and which only make the phone ring.
Before we begin
We need access to the places your number appears: ads, website and Google Business Profile. Callers hear that the call is recorded, and your team is told too. We agree the setup with you, state by state, before recording starts.
Every call, heard
Answering every inquiry starts with knowing who called. Each new-patient call shows where it came from, down to the ad, how long it lasted and whether it booked.

Questions practices and DSOs ask
How does call tracking work for a dental practice?
Each channel gets its own local number. A patient who calls it reaches your front desk as usual, and CareRM records which number they called, the recording, the transcript and whether the call booked.
Will our main phone number change?
Your main line stays. Tracked numbers forward to it, so patients reach the same front desk.
Is call recording covered by our business associate agreement?
Yes. Recordings and transcripts stay inside the CareRM platform, under the one business associate agreement that also covers your hosting and forms. Access is limited to the roles you approve.
Is there a separate call tracking fee?
Call tracking comes with every plan that runs ads, from Presence up, with no separate account. The phone-line charges from the call-tracking carrier pass through at cost.
What is a new patient worth to you?
Don’t know yet? Most practices don’t. Bring one practice or every location in a DSO. 30 minutes, three screens, nothing to connect. You keep the notes.
